3 Ways Wedding Planners can show up on socials DURING a wedding

Okay friend, you already know that Instagram and other socials are a great place to market your business. If you are using your social media platforms to show your work, that significantly impacts people who are watching you and want to purchase your services. However, showing up on socials ON a wedding day is not an easy task.
Thankfully after 10 years in the biz, my team and I have gotten clear on the best 3 ways to ACTUALLY DO IT.
1. PLAN AHEAD
First, here's what works if you have an assistant on your team on the day of, which if you're a wedding planner you 100% NEED. Immediately. You give them the power to collect content on your behalf while you're busy doing other things. If they can snap a few photos, plan for that!
Give them the power in your pre-planning meetings to say if you see something that I'm doing or setting out or that you're doing or that might make a good "before and after." Let them take the picture or video, and if you REALLY trust them and they are an integral team member, give them actual login to Instagram. They can be the ones posting while you're leading! That's the most beneficial, but if you don't have that trust yet, or they're an independent contractor who's not necessarily always with you, maybe what you want to do instead is, after they get the content, just have a shared album and have them AirDrop into that so that you the business owner can then add those images as the day goes on.
Okay but what if you're a solo vendor?
Because many DJs come solo and are by themselves the entire time, they may need to make a plan with another solo vendor, especially if you've got a friendor(friend-vendor) that you've got an excellent rapport with, it could be the planner, the caterer, or anybody else that will be there throughout the event. You can agree that when they see you, or you see them doing something cool, they take a picture, and later on, you can share the images to get content. It can be one or two photos; it doesn't have to be many.
Okay so you have someone snapping content - but now here's the PLAN. Go into the day with a few shots in mind you KNOW you can get. Before and after of a table scape, you in the DJ booth with guests dancing, whatever serves your content needs!
2. HIRE OR OUTSOURCE YOUR CONTENT CREATION
Yes, I get that adding an expense is not feasible right away for many entrepreneurs. HOWEVER, if you can do this, it keeps your focus ON your clients needs and priorities, AND means that your bts content is being captures or posted!
This can look like posting content and making it look pretty, adding an engagement sticker, and writing about it take the most time. So if you have an assistant, or social media manager, these are great people to get on your team for this, but even if you don't, if there's somebody that you can hire to sort of be on standby throughout the day to post on your behalf while you're at the wedding. For example, our company, Becca & Co, has a social media manager. She has her phone on her throughout the day, and we send her the pictures, videos, and the things we're getting in real time about the event and just a text or in our company Slack channel. Let's say it's a picture of the bouquets as the florist arrives. And we just sent her the photo sneak peek of the flowers before the bride gets it. And she'll post it, make it pretty, make music with it, tag the right people, and do the things that take a lot of time and distract you from the client at hand. If you're the person on the ground, then it helps you stay focused!
Simplest and most stress free option?
Collect all the content, photos, and videos whenever possible and don't worry that it's not perfect. Don't worry about the strategy. Just take a couple and then be done and put it away. And then post everything the next day. Get one selfie to show it's the wedding today. It will be busy, and you want to ensure you are present so that you will post all the behind-the-scenes tomorrow. That also does so well If you don't have somebody off-site to post on your behalf. Get the content. It takes five seconds to snap a photo or video once, twice, or thrice throughout the day. And that will do wonders for your marketing and creating that FOMO and social proof for people who are on the fence about booking you.
3. POST IN REAL TIME
Okay I KNOWWWW I just said not to worry about this if it's not feasible. But if it is, DO IT. Posting content in real-time makes people feel as if they're with us. This creates instant engagement with your ideal client. So, if you can post in real-time, it allows for a conversation and an interactive connection that turns into a real relationship with people watching along and feeling involved. They feel like we've invited them to somebody else's wedding to help inspire them to encourage them of what the result looks like.
Having a social media manager post everything in real-time is an excellent benefit because people are commenting and engaging on the posts, and it's fascinating and entertaining. For example, our social media manager says she gets a lot of engagements on our instagram stories when she posts in real-time than posting them later. Most people know that most weddings occur on Saturday, so if you post on Monday, people know it already happened and hence few engagements. So, real-time posting authenticity connects people to our content.
Again.
If you do not have someone to post your content in real-time, you can post one or two things and share that you will post more later. Because at the end of the day, no matter when you share it, it will be good for your business. It creates FOMO. It showcases what you do for your clients, and that's the most important thing, and it doesn't bite them, and still, even if it's later, take your time doing it. You prefer real-time because it is slightly more engaging and helps build a genuine connection. But that doesn't mean you can't do that and post it on Sunday or Monday after. I would say the most significant thing to avoid with this is being so focused on it has to be real-time, or you don't have an assistant, and so you are so caught up in it that you miss what's happening in front of you as a planner, your priority. The tiny moments we get where we can freeze water or play with the table layout a little bit and tweak something. Those are the moments where if you see something, you can post it, and it takes you a minute to do that.
